Call for Proposals to Host the IUSY World Congress 2026

Dear comrades,

As we look ahead to 2026, we would like to share with you the Call for proposals to host the next IUSY World Congress scheduled to take place in February 2026.

The IUSY World Congress is IUSY’s highest decision-making body and serves as a vital moment for in-depth political discussion, the adoption of key policy resolutions, and the election of a new leadership. The IUSY World Congress is a crucial opportunity and a space for our member organisations and political leaders from across the world to come together, set our collective agenda, and reaffirm our commitment to social justice, equality, solidarity, and freedom.

We are now inviting proposals from member organisations interested in hosting this important event. Given the scale of the Congress, we strongly encourage organisations from the same country to collaborate and submit joint proposals.

Please review the logistical and organisational requirements outlined below.

  • Applications should include the following:
  • A letter of motivation signed by the leadership of the applying member organisation, outlining the reasons for their interest in hosting the Congress.
  • A detailed overview of logistical arrangements, including proposed venues, accommodation, transportation, and technical support the organisation can offer.
  • An outline of the proposed financial framework, indicating the level of support the organisation can provide and any potential external partnerships or funding sources.
  • Additional supporting materials, such as letters of endorsement from mother parties or partner organisations.
  • In cases where more than one IUSY member organisation exists within the same country, the application must be accompanied by letters of endorsement from the leadership of all member organisations. 

 

Applications should be submitted by 14 August 2025 via email to iusy@iusy.org.

The proposals will be presented and reviewed at the next IUSY Presidium meeting in August 2025 for approval in due course. We look forward to your proposals.

Logistical and Organisational Requirements for Hosting the IUSY World Congress 2026

The purpose of this handout is to outline the key responsibilities and commitments expected from any organisation hosting an IUSY Congress. It also provides practical guidance and tips, drawn from the experience of past host organisations and the IUSY Secretariat.

Organising a Congress is a complex and demanding task that requires thorough planning, coordination, and commitment. The hosting organisation is expected to work closely and cooperatively with the IUSY Secretariat throughout all phases of the process to ensure a successful and politically meaningful event.

Tentative dates

We are tentatively scheduling the Congress for one of the following weekends:

5-8 February 2026 OR
12-15 February 2026

Venue

Different types of venues will be required for the various meetings leading up to and during the IUSY Congress. While each meeting may have specific logistical needs.

In the lead-up to the Congress, meetings such as the Presidium, Control Commission, will take place — each requiring its own dedicated space. The main Congress itself will also require a larger plenary venue, in addition to breakout rooms for parallel sessions and workshops.

Specific requirements per activity: 

Congress

  • Meeting room for approx. 300 people with chairs and preferably tables
  • A seating stage with banners/LED screens, audio- visual equipment, projector, PowerPoint controller, remote cameras, and screen for online participants.
  • Ideally located in or near the accommodation venue.

 

Presidium meeting

  • Meeting room for approx. 20 people
  • Chairs and tables for all

Control Commission meeting

  • Meeting room for approx. 5-6 people
  • Chairs and tables for all

Regional committee/Working group meetings

  • 7-10 indoor rooms/separate spaces for 10-30 people

In all rooms:

  • projector
  • Chairs
  • flip over/whiteboard
  • markers

Office/Secretariat

  • Tables and chairs for 3-5 people ? Internet
  • Printer / scanner
  • Water
  • A4 paper, pens, folders, tape etc.

Accommodation

Hotel lodging for:

  • ~300 participants during the Congress period (plus arrival/departuredays)
  • ~20 Presidium members from 2 days before to 1 day after the Congress
  • ~4–6 Secretariat members for 7 working days (preparation through closing)

Catering

Meals should respect dietary preferences indicated during registration. Full board (breakfast, lunch, dinner, and coffee breaks) for:

  • All participants during the Congress and travel days
  • Presidium and Control Commission during their meeting and travel days
  • Secretariat for their entire stay
  • Drinking water must always be available at all venues.

Transportation

  • Airport transfers for all participants, Presidium, and Secretariat if the airport is not accessible. Otherwise, clear guidelines how to reach to/from the venue/accommodation.
  • Transportation to/from social event venues and Congress venue (if separate from hotel)

Visa Support

  • Assistance with visa processes: official letters of support, coordination with embassies, and—if possible—facilitation of visas on arrival.

Materials

  • Congress booklet, printed materials for the programme and meetings
  • Welcome kits, printed credentials, voting cards for delegates

IUSY will be responsible for the design of all printed and visual materials.

Social Programme

  • ThursdayWelcome event (theme TBD)
  • Friday & Saturday evenings: Social activities for all participants

Pre-Congress planning timeline

September 2025

- Agreement signed with the hosting organisation - Congress invitation sent to Member organisations

October

- First deadline for registration and payment of participation fees

November

  • -  Deadline for nomination of candidates for: President, Secretary General, Vice- President, Control Commission President and member of Control Commission
